Sales agreement
General
Sales agreement between Seller and Buyer allows to list all the conditions of the upcoming deal and both parties responsibilities. Sales agreement function main goal is to make it easier for sales staff to close the deal on spot. When offer is acceptable for the buyer the Sales agreement can be immediately prepared.
There is no need to "Accept" the offer before creating the Sales Agreement. Both can happily live together side by side. Once you change the details in the offer also the agreement will change. However, when agreement is signed the offer will become accepted too and pending lead for the customer gets closed.
Accessing Sales agreement
Agreement tab gives access to Sales agreement between dealer and customer. It an be accessed from offer view, Agreement tab - Sales agreement button.
When Sales agreement button clicked Agreement settings open. There are 5 sections to fill in with information:
- Vehicle - vehicle and estimated delivery time
- Customer - buyer personal details
- Drivers - add drivers that will be registered officially as users of the car (optional)
- Finance - price, trade-in and other financing details
- Agreement - preview, print and sign the agreement text
When you first open Agreement settings some steps will be marked with a green circle (meaning information for this step is complete), some will be marked with a grey circle (meaning some data is still missing).
Please note: even if some information is incomplete you may still be able to preview or even sign the agreement. Grey status circles are just indicating you might want to add some information.
Vehicle section
Includes offer vehicle detail, offer number (clickable) and status, vehicle warehouse ID (clickable) and pipe status, delivery date (selectable), and a comment field.
Click on a blue offer number button to see offer in detail or to edit it.
Click on a vehicle warehouse ID to see it's detailed pipe status.
Click next to delivery date to choose a date in a pop up calendar.
Whatever you enter in the Notes & agreements field will be visible in the Agreement.
When all this data is filled in Vehicle step will be marked with a green circle.
Customer section
Includes buyer details.
All data in this tab is taken from customer profile in the system.
In case some information is incomplete or chaned you can edit it is this page or click on a man icon in upper right corner to open customer profile.
You can choose of this if this is a private or corporate purchase.
Country indicator button in lower right corner of the screen allows you to select a country.
When all this data is filled in Customer step indicator will turn green.
Drivers section
lets you choose drivers for the vehicle being sold
To turn Drivers step indicator to green you need to add at least one driver.
By default first driver suggestion is a customer the offer is created for.
Click "Add as a driver" and the name will appear in the drivers' list.
Add other driver(s) by inserting Name and Personal ID number in the form in the top of the screen and clicking "Add as a driver".
Finance section
Includes financial information edited in the FInancing tab of the offer detail view.
Financing tab has financial data adjusted in offer detail view settings. Read more here.
You can specified deposit amount paid by customer.
If trade-in vehicle is included in the offer it will also appear in this step.
You will be able to check/edit trade-in vehicle data by clicking a blue button with license plate number.
Agreement section
gives you agreement preview with all the data provided in previous steps.
Agreement contains data about seller and buyer.
Buyer (customer) information is taken from customer profile and from filling in previous Agreement steps.
Customer signature window allows customer to sign the Agreement wihtout printing it out.
Print button opens full Agreement preview in a new window.
Clear button clears customer signature window.
When Done button is clicked a pop up will appear to add a memo to the offer and mark it as Accepted.
After this is done, Invalidate button will appear. Use it if you need to go a step back before agreement was finalized and make changes.
When Agreement is finalized offer's status is set to Accepted, vehicle is marked as Sold in the system. Memo you entered on Agreement finalization is recorded as internal note on the offer. It will not be visible to a customer.
