Trade-In

Trade-in section overview

Trade-in can be accessed from the tab in the upper part of your screen ("Trade in"). 

In trade in you can search (1) for a car by registration number, VIN code or customer name; filter by status (2) or dealership (3). 

Vehicles list (4) is displayed immediately below search area. Above vehicle list on the left you will see a button to add a new vehicle (5) - "+New Trade-in"

In vehicle list you will see vehicle registration number (1), customer name and vehicle name (2), trade-in status (3), and when and by whom the car was added (4).

Trade-in statuses

There are 4 statuses for trade-in, each indicated in different color badge:

Draft - new vehicle with incomplete information.  This is a starting status for any new trade-in record

Ready for appraisal - all available information is added to the vehicle and the car can be submitted to a sales manager or other person assigned vehicle appraisals

Done - appraisal is finalized and vehicle can be offered to the customer with a confirmed price

Sent to customer - just a status to indicate if the offer has been sent to the customer. Observable in the reports.

Purchase agreement - offer is accepted by customer and purchase agreement is to be signed

No deal - is available at all times. This is to indicate that the customer clearly is not interested in trading in his vehicle.

Trade-in details

To access trade-in details of vehicles click on it. You will be taken to trade-in detail screen:

On top you will see trade-in number (1), assigned by Salesfront; trade-in status (2), trade-in completion stage (3), and trade-in information with status buttons at the bottom (4).

Overview - contains customer name and contact information. In the upper right corner you will see 2 buttons (5):

  • Access customer profile to edit

  • Assign to another customer

In this section you can manage basic vehicle info including first registration year and month, mileage, and specification details.

Equipment - allow to manage vehicle equipment list. You can add extra equipment by typing the names in text area at the bottom of the screen, items separated by semicolon ( ; ). 

Pictures - upload, view or delete vehicle images

Condition - indicate last service date and condition details (1); add refurbish costs (2); add damage photos (3)

Click on a button to switch between YES/NO on condition detail:

Click on "Refurbish costs" button to add a repair cost:

Pricing - adjust financial information

  • VAT Included - VAT included vehicle. Example - vehicle bought from a leasing/company

  • VAT Excluded - VAT is included, however, you want to show the price without VAT. Example - sometimes ads for vans are shown without VAT.

  • VAT Exempt - Marginal VAT rule. Vehicle has VAT paid. Example - when purchasing the vehicle from a private person.

 

Paperwork - preview or sign purchase agreement, check valuation report or print purchase offer. You can set handover date by clocking on "Settings" button

Create pipe item - After finalizing the purchase agreement, you now have an option to import the car straight into the pipe. This fetches the data and pictures from the trade-in module and inputs it into a new warehouse item.

Create new Trade-in

When you want to add a car first click "New Trade-in". You can add a vehicle by the registration plate which will pre-load a lot of the data about the car from a preset public source.

Salesfront offers you a short overview if the registration number you entered is correct. If you are happy with the selection click "Create trade-in"

Most of the data was already pre-filled. On this screen you would only need to add customer(1), the VIN code(2) and mileage(3). Continue to fill out more detailed vehicle information(4). Read more on trade-in details here.

Under "Condition" you can note down some key facts about the car and also if the car has any damages you can take a picture and give the damage a price.



What is left is to enter is the "Asking price" under the "Pricing" tab and then you can set the status to "Ready for appraisal" from the "Overview" tab.

Now the car will appear under the trade-in cars menu with the status "Ready for appraisal". The sales manager or the person who is tasked with trade in appraisals can now take a look at the car with full information, pictures, damages and condition and get a realistic buyback price.


Appraisal is made really simple, if you configure everything you just need to input the current market value.

  • Asking price - What the customer is asking for the car. This is not used in calculations.

  • Purchase price - The calculated purchase price for the car based on parameters.

  • Refurbish cost estimate - If the car needs some work done before it can be taken into sales then this amount will be deducted from the purchase price.

  • Market value - The current market value for the car based on, condition, mileage, year etc.

  • Days to sale - Approximate days that you can forecast for the sale.

  • Margin - Desired dealer margin for the sale.

When you have filled out the desired "Margin", "Days to sale" (these will be saved) and the optional "Refurbish cost estimate" then you just need to enter the "Market value" and Salesfront will automatically calculate what the purchase price should be. If the appraisal is done, it will lock out the values and its back to the salesman.
